This policy explains what personal information NeuroUniverse collects, why we collect it, and what we do with it.
Who we are
NeuroUniverse is NeuroUniverse Ltd, a company registered in England and Wales, company number 15588859, of [REGISTERED OFFICE ADDRESS]. We are the data controller for the information described in this policy. The information we collect
When you book a call: your name, email address, and anything you choose to tell us when booking. Bookings are handled by Calendly.
When you become a member: your name, email address and billing details. Payments are handled by Stripe — we never see or store your card number.
When you work with us: during your call and afterwards, you may tell us about your child and your family's situation, and you may send us documents such as reports, Education, Health and Care Plans, and correspondence with schools or your local authority. This often includes information about a child's health, diagnoses and education.
This is sensitive information — what data protection law calls special category data — and we treat it accordingly. We only use it to give you the advice and support you have asked for, we only share it with a specialist where you have asked us to bring one in, and we ask for your explicit consent before doing so.
When you sign up for our newsletter: your email address, and whether you open or click our emails.
When you visit the website: standard technical information such as your IP address, browser type and the pages you view. Our website is built on Squarespace, which sets cookies to make the site work and to give us basic visitor statistics.
Why we use it, and our legal basis
To provide the service you have asked for — the call, the plan, the ongoing support. Legal basis: performance of a contract with you.
To handle the sensitive information you share about your child. Legal basis: your explicit consent, which you can withdraw at any time.
To take payment and keep financial records. Legal basis: performance of a contract, and our legal obligations.
To send you our newsletter. Legal basis: your consent. Every email has an unsubscribe link.
To run and improve the website. Legal basis: our legitimate interests in operating a functioning website.
Who we share it with
We do not sell your information, and we never share it for advertising.
We share it with our specialists, where you have asked us to involve one. They are bound by confidentiality and only receive what they need to help you.
We share it with service providers who run parts of our operation — Calendly for bookings, Stripe for payments, Squarespace for the website, and Google Workspace for email.
We share it with anyone else only where you have asked us to, or where we are required to by law.
Some of these providers are based outside the UK. Where information is transferred abroad, it is protected by the safeguards required under UK data protection law.
How long we keep it
Enquiries that don't become memberships: 12 months.
Member records, including documents you send us: for the length of your membership and three years afterwards, so we can pick up where we left off if you return. You can ask us to delete them sooner.
Financial records: six years, as required by HMRC.
Newsletter subscribers: until you unsubscribe.
Your rights
Under UK data protection law you have the right to ask what information we hold about you and get a copy; to have inaccurate information corrected; to have information deleted; to restrict or object to how we use it; to receive your information in a portable format; and to withdraw consent at any time where we rely on consent.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk, or on 0303 123 1113.
Children's information
Our members are parents and carers. We do not knowingly collect information directly from children. Where you tell us about your child, we rely on your consent as their parent or carer, and we handle that information with particular care.
Cookies
Our website uses cookies that are necessary for it to function, and cookies that give us basic anonymous statistics about how the site is used. You can control cookies through your browser settings.
Changes to this policy
If we change this policy we will update the date at the top and, where the change is significant, tell members by email.
